Job Title: Project Coordinator – Document Control & Scheduling
Pay: $55,000 to $85,000 DOE
Monday-Friday 6:00am to 4:30 pm

Job Description:
As a Project Coordinator specializing in document control and scheduling you will play a pivotal role in supporting the project management team by ensuring that all project documentation is properly organized, tracked, and accessible, while also assisting in the development and maintenance of accurate project schedules. Your work will be critical in ensuring the efficient flow of information and that deadlines are met for all structural steel construction projects. A key part of your role will also involve utilizing Power BI to help track project data and performance metrics.
Key Responsibilities:
- Document Control & Organization:
- Manage and organize all project-related documentation, including contracts, drawings, change orders, RFIs (Requests for Information), submittals, and other critical project files.
- Ensure documents are properly filed, version-controlled, and accessible to all stakeholders.
- Monitor and track the status of documentation and assist in the review and approval process.
- Maintain a central repository for all project documentation and ensure compliance with company policies and industry standards.
- Scheduling & Project Planning:
- Develop, maintain, and update detailed project schedules in collaboration with the Senior Project Manager and other project team members.
- Track project milestones and deadlines, ensuring timely completion of tasks and activities.
- Proactively identify scheduling conflicts or delays and work with the team to resolve them.
- Assist with resource allocation and ensure that project timelines align with resource availability.
- Regularly update and distribute the project schedule to stakeholders to ensure alignment across all parties.
- Data Analysis & Reporting (Power BI):
- Utilize Power BI to create visual reports and dashboards that track project progress, document control status, and other key performance indicators (KPIs).
- Analyze project data and provide insights to help optimize project performance and identify areas for improvement.
- Assist the project management team in generating periodic reports for clients and internal stakeholders.
- Collaboration & Communication:
- Coordinate with internal teams, clients, subcontractors, and suppliers to ensure the timely exchange of information.
- Ensure all project stakeholders have access to up-to-date project documents and schedules.
- Assist in preparing meeting agendas, notes, and project status updates for team meetings and client meetings.
- Project Support:
- Provide administrative support to the project management team, including preparing reports, maintaining project logs, and tracking project expenses.
- Assist with managing project deliverables and ensuring that all necessary documentation is completed and submitted on time.
- Ensure regulatory compliance and assist in managing safety documentation related to the project.
Qualifications:
- Bachelor’s degree in Construction Management, Business Administration, or related field preferred.
- Previous experience in a project coordinator or administrative role within the construction or steel fabrication industry is a plus.
- Experience with Power BI or other data visualization tools for reporting and analysis.
- Proficiency with project management software (knowledge of Tekla EPM is a plus).
- Strong experience with scheduling software (Microsoft Project, Procore, or similar).
- Advanced knowledge of document control procedures and best practices.
- Familiarity with construction documents (RFIs, change orders, submittals, etc.).
- Excellent organizational skills with the ability to manage multiple priorities and deadlines.
- Strong attention to detail and commitment to maintaining accurate records.
- Strong communication skills, both written and verbal, with the ability to collaborate effectively with team members and stakeholders.
- Ability to work independently and as part of a team in a fast-paced, deadline-driven environment.
- Ability to analyze data and present findings in a clear and actionable format.
Physical, Mental, and Environmental Requirements:
- Ability to work in an office environment and visit construction sites as required.
- Ability to handle light to moderate physical activity, including occasional lifting of documents or office supplies up to 25 pounds.
- Ability to work in a noisy, sometimes dusty, construction environment.
- Occasional travel between project sites and office locations as needed.
